Click on the \u201c<strong>+ New User<\/strong>\u201d field. In the window that appears, select whether you want to add a coach or an athlete and click on \u201c<strong>+ Add<\/strong>\u201d. Enter the first and last name and an e-mail address and select one of the predefined standard roles.\u00a0<\/p>\n<p>You must enter a first and last name and an email address.<\/p>\n<p>Go to SETTINGS \u2013 ADMINISTRATION, click the \u201c<strong>Users<\/strong>\u201d tab, and select \u201c<strong>Active Users<\/strong>\u201d. If you want to add individual users or a small number of users, click the \u201c<strong>+ New User<\/strong>\u201d field. In the window that appears, select whether you want to add a coach or an athlete, and click \u201c<strong>+ Add<\/strong>\u201d.<\/p>\n<p>You must enter the first and last name as well as an email address.<\/p>\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-danger\"><strong>Important:<\/strong> We also recommend that you include the date of birth. This information is required to identify existing users. This helps prevent the creation of duplicate user accounts, especially in cases where email addresses are unclear. Duplicate accounts cannot be merged later.<\/p>\n\n\n<p>Also, select one of the predefined standard roles. You can choose from the following standard roles:<\/p>\n<ul>\n<li><strong>Head Coach *:<\/strong> Has all permissions except for club administration.<\/li>\n<li><strong>Assistant Coach *:<\/strong> Has all permissions but cannot edit or delete anything from other users.<\/li>\n<li><strong>Supporting Coach *:<\/strong> Can only view sport-specific content.<\/li>\n<li><strong>Athlete *:<\/strong> Has all athlete permissions.<\/li>\n<\/ul>\n<p>You can also create your own roles later, with permissions you choose yourself, so you have an exact overview of which users have which permissions. (see step 6).<\/p>\n<p>If you want to add more users, click on \u201c<strong>+ Add<\/strong>\u201d and enter the data for this user. Then click on \u201c<strong>Save<\/strong>\u201d.<\/p>\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-danger\">If you have checked the \u201c<strong>Send activation email(s)<\/strong>\u201d checkbox, the activation e-mail will be sent to the relevant users. You can also activate users later (see step 4).<\/p>\n\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-alert\"><strong>Important:<\/strong> Each user must have their own e-mail address, as this is used to identify them.<\/p>\n\n\n<p>In addition to the option to add individual users, we also offer a bulk import feature. To use it, click on \u201c<strong>+ Bulk Import<\/strong>\u201d and download the template file. Enter the athletes\u2019 and coaches\u2019 information into the file and then upload it. The file will be sent to Force8, where it will be checked and then processed. We\u2019ll let you know as soon as the users have been successfully uploaded.<\/p>\n\n<h5>Create athletes without an email address<\/h5>\n<p>When creating an athlete, you have the option to select &#8220;<strong>Athlete without email<\/strong>\u201d. This automatically generates a random email address for this athlete. This option is useful if you do not yet have the athlete&#8217;s email address when creating them. You can replace it with a valid address at a later date.<\/p>\n<p>Alternatively, you can use this option if your club uses the \u201c<strong>Family Connect Module<\/strong>\u201d. This module allows you to assign athletes from your club to a family member. The family member gets access to the assigned athletes, can see their schedules in a clear overview, and can register and deregister them for trainings.<\/p>\n<p>The module is ideal for families with younger children who do not yet need their own account. In this case, athletes can be assigned to a family member even if they do not have their own email address.<\/p>\n<h3>Step 2 (optional): Assign users to a sport<\/h3>\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\">This step only needs to be taken if your club works with multiple sports.<\/p>\n\n\n<p>Under SETTINGS &#8211; COACHES, select the checkboxes next to the coach&#8217;s name and then click on \u201c<strong>Edit Assignments<\/strong>\u201d at the top and choose &#8220;<strong>Assign to Sports<\/strong>&#8220;. Select the desired sport(s) in the window that appears and click on \u201c<strong>Save<\/strong>\u201d.<\/p>\n<p>Carry out this step for your athletes under SETTINGS &#8211; ATHLETES.<\/p>\n<h3>Step 3: Assign athletes to a coach<\/h3>\n<p>Under SETTINGS &#8211; COACHES, click on the number in the \u201c<strong>Athletes<\/strong>\u201d column next to the name of the coach to whom you want to assign athletes. Click on \u201c<strong>+ Assign<\/strong>\u201d at the top and select all the athletes you want to assign to this coach in the window that appears. Then click on \u201c<strong>Assign<\/strong>\u201d.<\/p>\n<h3>Step 4: Activate user<\/h3>\n<p>If you have not already sent the activation email to a user during registration (see step 1), you can do this later.<\/p>\n<p>Go to the \u201c<strong>Users<\/strong>\u201d tab and select \u201c<strong>Active Users<\/strong>\u201d in the drop-down menu. Select the checkboxes to the left of the desired users and click on the \u201c<strong>envelope symbol<\/strong>\u201d below the names. Click on \u201c<strong>Send<\/strong>\u201d in the window that appears. The users will receive an activation email with a link where they can activate their access. Once they have done this, the color of the envelope icon in the \u201c<strong>Email verified<\/strong>\u201d column will change from grey to green.<\/p>\n<h3>Step 5 (optional): Assign FTEM levels to athletes<\/h3>\n<p>If your club works with the framework concept for athlete development (FTEM level), you can assign the appropriate level to your athletes in the menu n the left under ATHLETES. There you will find an overview of all the athletes assigned to you. Select the checkboxes for the desired athletes, click on \u201c<strong>Register season\/FTEM<\/strong>\u201d at the top, and then select the appropriate level.<\/p>\n<h3>Step 6 (optional): Create your own roles<\/h3>\n<p>If the default roles are not sufficient for your needs, you can also create your own roles and define their permissions individually.<\/p>\n<h4>Create role<\/h4>\n<p>Go to the \u201c<strong>Access<\/strong>\u201d tab and in the drop-down menu to \u201c<strong>Roles<\/strong>\u201d and click on \u201c<strong>+ New<\/strong>\u201d. Enter a name and description for the role in the window that appears and select the appropriate user type. Click on \u201c<strong>Save<\/strong>\u201d.<\/p>\n<h4>Assign permissions<\/h4>\n<p>Go to the \u201c<strong>Access<\/strong>\u201d tab and click on \u201c<strong>Permissions<\/strong>\u201d in the drop-down menu. Select a role and the module. All permissions for this module are listed. Activate the sliders on the right for the permissions you want to assign to the roles.<\/p>\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-info\"><strong>Tip: <\/strong>The permissions of the default roles cannot be changed. However, if you want to make adjustments, you can copy a default role. The copied role contains exactly the same permissions as the original default role. You can then customize the permissions of the copied role according to your preferences.<\/p>\n\n\n<h4>Assign roles to users<\/h4>\n<p>Go to the \u201c<strong>Users<\/strong>\u201d tab and select \u201c<strong>Active Users<\/strong>\u201d in the drop-down menu. In the \u201c<strong>User Role<\/strong>\u201d column, click on the assigned role and replace it with a new one.<\/p>\n\n\n<p class=\"wp-block-ht-blocks-messages wp-block-hb-message wp-block-hb-message--withicon is-style-danger\"><strong>Very important:<\/strong> Make sure that you do not assign yourself a new role as \u201c<strong>Club Admin<\/strong>\u201d that does not have admin rights<\/p>\n","protected":false},"excerpt":{"rendered":"<p>Follow this step-by-step guide to set up your Force8 Coach account correctly so that you can start working with it quickly and productively.
